How to Use Claude for Excel
What is this?
This is an AI helper that lives inside Excel. You type a question or request, and it reads your spreadsheet and responds. It can also make changes to your workbook — but only after you say "yes."
How do I talk to it?
Type in the box at the bottom and press Ctrl+Enter (or click Send). Ask in plain English — no special commands needed.
Things you can ask:
"What does this data show?" — it will look at your selected cells and explain
"Add a SUM formula in B10" — it will suggest a formula and wait for your OK
"Make a bar chart of this data" — creates a chart from your selection
"Fix the formatting" — cleans up numbers, dates, and currency
"What if revenue goes up 10%?" — shows what would change and where
"Make this look professional" — applies financial formatting (borders, headers, number formats)
Will it change my data without asking?
No. Claude will always show you exactly what it wants to change and ask for your approval first. You can cancel any time.
What are the blue links in responses?
When Claude mentions a cell like B15 or A1:D10, you can click it to jump to that cell in your spreadsheet. It will flash yellow so you can see it.
What is the model selector?
You can switch between two AI models:
• Opus — smarter, better for complex tasks (costs more)
• Sonnet — faster, good for simple questions (costs less)
What is "Include all sheets"?
By default, Claude only sees the sheet you're on. Turn this on if you need it to look at data across multiple sheets.
Where is the Claude Log?
Every change Claude makes is logged to a hidden sheet called "Claude Log." To see it, right-click any sheet tab and choose "Unhide," then select "Claude Log."
What does the cost number mean?
After each response you'll see something like "~$0.12 · 5k tokens." That's the estimated cost of that one question. A typical question costs between $0.05 and $0.50.
Tips:
Select the cells you want help with before asking — Claude will focus on them
Be specific: "format column B as currency" works better than "fix this"
For big tasks, Claude may think for a while — that's normal. You'll see "Thinking deeply" while it works
Click 🗑️ to clear your chat history before sharing the file with someone else
